Ella Privacy Supplement

This supplement explains Ella-specific privacy practices and should be read with the Umbrella Journal Privacy Policy. If there is a conflict, this supplement governs for Ella-specific processing.

1. Scope

This supplement applies to data processed through Ella chat features, topic flows, check-ins, and related insights. General website and app privacy terms remain in Umbrella Journal Privacy Policy.

2. Data we process in Ella

Depending on how you use Ella, we may process the following categories of information:

  • Chat inputs and responses (what you type and what Ella returns).
  • Topic selections, check-in responses, and optional feedback ratings.
  • Conversation metadata such as timestamps, feature triggers, completion state, safety-related flags, and interaction history.
  • Technical and usage data such as device type, operating system, app version, crash logs, performance data, and feature usage.
  • Account identifiers needed to provide continuity and sync.
  • Subscription, entitlement, restore, and transaction metadata where premium features are offered.
  • Support requests, bug reports, and follow-up communications you send to us.

3. Sensitive information

Ella conversations can contain mental health-related information, emotional disclosures, crisis-related statements, relationship details, health-adjacent context, and other information that may be considered sensitive under applicable law. We process this information to provide requested features, maintain safety systems, support account continuity, and operate the service in accordance with our Privacy Policy and applicable law.

You should avoid sharing information in Ella that you do not want processed for those purposes. If you include personal information about other people, you are responsible for ensuring you have the right to share it.

4. How we use Ella data

We may use Ella data to:

  • Provide Ella conversations and requested features.
  • Maintain conversation continuity, memory controls, check-ins, and related insights.
  • Maintain safety systems, detect misuse, and enforce platform policies.
  • Debug, monitor performance, and improve quality and reliability.
  • Evaluate whether features are working as intended, including measuring completion, engagement, and errors.
  • Respond to support requests, billing questions, legal requests, and security incidents.
  • Comply with legal obligations and investigate misuse.
  • Create aggregated or de-identified analytics, evaluation datasets, and quality/safety improvement materials.

5. AI and service providers

To operate Ella, we may use contracted service providers for hosting, cloud infrastructure, analytics, customer support, subscription management, safety tooling, and AI model delivery. These providers process information on our instructions and subject to contractual restrictions.

When AI features are used, we may transmit relevant inputs, context, and system instructions to model providers or hosting partners in order to generate outputs. We do not permit those AI vendors to use your personal information to train their foundation models, except where you separately and expressly consent or where we clearly disclose a different arrangement for a specific feature.

6. Safety review and moderation

We may use automated classifiers, heuristics, and abuse-detection systems to identify harmful, unlawful, abusive, fraudulent, or policy-violating use of Ella. Where reasonably necessary for safety, support, troubleshooting, fraud prevention, or legal compliance, authorized personnel or service providers may review relevant conversation excerpts, metadata, or account activity.

Such review may occur, for example, when a user reports a problem, when our systems detect suspected misuse or elevated risk, when we need to investigate a bug, or when disclosure is required to protect rights, safety, or legal compliance. Review does not mean Ella is monitored as an emergency service or crisis line.

7. Sharing and disclosures

We do not sell personal information for money. We may disclose Ella-related information:

  • To contracted processors and service providers acting on our instructions.
  • To payment, app-store, or subscription providers as necessary to manage purchases and entitlement status.
  • To affiliates, advisors, acquirers, or successors in connection with financing, reorganization, merger, sale, or other business transfer.
  • To law enforcement, regulators, courts, or other parties where required by law, subpoena, legal process, or where reasonably necessary to protect rights, property, safety, or investigate fraud and abuse.
  • In de-identified or aggregated form that does not reasonably identify you.

8. Retention and deletion

We retain Ella data only as long as reasonably necessary for service delivery, legal compliance, dispute resolution, fraud prevention, safety, and legitimate business needs. Retention periods may differ by category of data. For example, operational logs, support tickets, billing records, and de-identified analytics may be retained on different schedules than chat content or check-in responses.

When you delete content or request deletion of your account, we will delete or anonymize applicable personal data within a commercially reasonable period, subject to backup cycles, legal obligations, fraud prevention, security needs, and other lawful grounds for limited retention.

9. Your choices and rights

Depending on your region, you may have rights to access, correct, delete, export, or object to processing. See the rights section in the Privacy Policy and submit requests at help@umbrellajournal.ca.

You may also have product-level choices such as deleting chats, adjusting memory or continuity settings, disabling certain notifications, or choosing not to use AI-dependent features. Availability of controls may vary by feature and product version.

10. International transfers

Ella data may be processed in Canada, the United States, and other locations where we or our service providers operate. We apply safeguards required by applicable law for cross-border transfers.

Where required, we rely on contractual, organizational, and technical safeguards for international transfers, including data-processing agreements and transfer mechanisms described in our broader Privacy Policy.

11. Minors

Ella is not directed to children under 13. If we learn that a child under 13 has provided personal information through Ella without appropriate authorization, we will take steps to delete the information as required by law.

If minors use Ella in jurisdictions where such use is permitted, that use must be supervised and authorized by a parent or legal guardian and does not replace pediatric, school, campus, or other professional support.
